Gazelle, Inc. has developed an online system for a state high school extracurricular activities association. This system has eliminated hours worked late into the night by the association's employees during major tournament weekends. It has also drastically cut the amount of paper and ink used by the fax machine, as most paper forms have been converted to online forms. Data is now submitted directly from the schools' athletic director or coaches, the association's officials and judges, as well as "observers" who evaluate officials' performance vi an integrated online system.
The system allocates a different level of access to each type of user. A school's athletic director can login and maintain the school's eligibility lists, view post-season rosters and entry forms for all sports and activities, apply to host post-season competition, respond to a contract detailing their responsibilities as a host, submit financial reports on hosted tournaments, maintain their school directory information and lookup staff passwords to the system, submit ejection reports, propose a rule change, and more. The AD can also fill out his or her school's schedule for each sport in which that school will compete.
Each coach from each school can login and view his or her team's eligibility list, fill out post-season rosters and entry forms, and update statistics on his or her team. The coach can also view messages posted by the AD of his or her school.
The association's officials and judges can register online and pay by credit card. At that time, they can login with their issued password and take online tests for the activities for which they registered, enter their schedule of game or activities, submit ejection reports, apply to officiate or judge post-season competition, and respond to contracts detailing their responsibilities as post-season officials or judges. They can also update their contact information at any time as well as view evaluations submitted by observers about their performance as an official or judge.
The association itself has the highest level of access. Its staff can lookup contact information for any school, coach, official, judge, or observer. They can access any school's roster or entry form. They can run exports designed to either be used in merged documents, to be displayed on the association's website, and/or to be sent to the printer for printed publications, such as the school directory or state programs. The association can view summarized tables of all schools that have applied to host post-season tournaments and assign hosts based on the information provided by the schools about their facilities and dates available. They can also view a summary of officials who have applied for a certain post-season tournament and make assignments based on the information provided through the system. Once assignments are made, the association posts contracts to the schools and officials, which can be accepted and confirmed online. The association can view online test results (which are automatically scored) for the officials, search their schedules, view ejection reports submitted, and more. They also have total access to the schools' schedules for each sport, the ability to enter scores for competitions, and the ability to seed district teams and automatically generate brackets for post-season competition. This information can be made automatically available for the public to see on the association's website.
